CoTreat Roles and Permissions

This page provides an explanation of the different account Permissions available when inviting your team to CoTreat and recommendations on Permissions for the different members of your team.
We understand that every practice is different. As you read the sections below, and learn more about CoTreat account permissions, you decide which team members are assigned with User, Admin or Practitioner Permissions. You know your practice best, our suggestions are simply a guide to help you get started.
It's important to note that if you have both our Generator and Colleague products your team will have the same permissions across both products.
DAs, Receptionists and Treatment Coordinators
Having unique logins for these team members have two benefits.
- The practice owner/manager has visibility of who is performing CoTreat tasks, making it easier to delegate tasks and ensure that tasks are completed and so provide a great service to your patients.
- Patients will know which team member they're talking to via SMS, making it a personalised experience that establishes rapport and makes it easy for your team to respond to patient queries and requests.
Permissions: These team members are usually set up with User Permissions to help create digital treatment plans, send digital treatment plans, and respond to patient queries.
Practice Owners and Managers
Permissions: These team members are usually set up with Admin Permissions to help manage the practice CoTreat account.
Dentists, OHTs, and Hygienists
- Permissions: There are two ways you can setup these team members. Here are two common scenarios. Decision time! 🤔
'Practitioner' but not a 'User' - Use this setting when the practice is taking control of the treatment presentation and communication process. The digital treatment plans created in CoTreat from your practitioners' treatment plans will be sent by Receptionists, DAs, Tx Coordinators with the help of AI. Practitioners will continue to work exclusively on their practice management software (D4W, Core Practice etc) and their existing workflow will be unaltered.
- 'Practitioner and a User' - Use this setting when the practitioner is taking control of the treatment presentation and communication process. With this permission, the digital treatment plans can be sent directly by the practitioner. Practitioners will work between the practice management software (D4W, Core Practice etc) to create their treatment plans and the case presentation software (CoTreat Generator) to create the digital treatment plans sent to their patients.
