How to send a Digital Treatment Plan and info packs from CoTreat - Integrated

CoTreat makes it easy to create to send information to patients about their treatment:

  • Send info packs with x-rays and photos to make them aware of options with the intention of getting the patient booked for a consult and create a personalised treatment plan.
  • Send treatment plans to their phone to engage them with the treatment they are about to receive and reinforce how it will benefit them.

  1. Click Synced Patients and click on the relevant patient - you don't need to click on + Create Digital Treatment Plan

  1. Select the data for inclusion in your patients Digital Treatment Plan
    1. Click Sync Now if the data is not available
    2. Click on the Images for inclusion in the Digital Treatment Plan
    3. Ensure import treatments is toggled on (it should be blue)
    4. Click/Select/Create the Treatment Plan data that you require.
    5. Click Send Digital Treatment Plan and you will then have the opportunity to check all of the information and add a Note to Patient in the next step using AI, templates or free text

Remember - you don't need to send the Treatment Plan (item code, descriptors, pricing) for every patient. For patients seen at a check up with treatment options you should mention this to the patient, advise you will send some information, and send this via CoTreat without a Treatment Plan.

If your integration is to your Practice Management Software only and does not include your Image Viewer you will not be presented with synced images and you will need to do this manually after selecting your digital treatment plan from the integrated data. Follow the in-product instructions to do the manual upload.

  1. Note to Patient adds information provides the "compelling reason/s" for your patients treatment options, including:
  • Type of treatment
  • Indications for treatment
  • Any other information that you think is relevant and useful to the "compelling reason" to help patients understand their options and book consults and treatment.

You have options for adding the "Note to Patient"

    1. Free text, for a short note type free text, or dictate into your preferred software and copy and paste. NB: If it's text you'll use again save as a Template
    2. Auto Generate With AI transforms treatment plan items into patient-friendly information about the treatment and why it's needed. You can modify this text to your preferences.
    3. Template - choose one of your pre-existing Templates.

      2. You can create beautiful designs and customised information using your favourite marketing/comms tool, such as Canva or Adobe Photoshop
        1. Export this to an image file such as JPEG, or PNG a
        2. Add this to your template

        4. You can always ask for help using the "Help" beacon in CoTreat

  1. Now you are ready to send, preview or save your Digital Treatment Plan.
    1. Click Preview at the bottom of the page and review/edit your information
    2. Once everything is ready to send click Save and Send To Patient
    3. If you're not ready to send click Save Draft to Send Later

Make sure to tell your patient that they will receive an SMS with their digital treatment plan, and encourage them to get in touch with any queries either directly with the clinic or through the app.


You can check to see if your patient has reviewed the plan and how long they spent reviewing it and what they looked at. Follow up patients who have not booked, attended or completed their treatment.
